Job Description:

Job Purpose

The Personal Assistant will provide high-level administrative and organizational support to a senior official, ensuring the efficient management of daily priorities, communications, meetings, and official engagements. The role requires discretion, professionalism, sound judgment, and the ability to manage sensitive information in a confidential government environment.

Key Responsibilities

  • Manage the senior official’s calendar, appointments, meetings, and daily schedule.
  • Coordinate internal and external meetings, official visits, and events.
  • Prepare meeting agendas, briefing materials, presentations, and supporting documents.
  • Record meeting minutes and follow up on assigned actions and deadlines.
  • Draft, review, and organize correspondence, reports, and official communications.
  • Receive and prioritize telephone calls, emails, requests, and visitors.
  • Coordinate travel arrangements, itineraries, transportation, and accommodation when required.
  • Maintain accurate and secure electronic and physical filing systems.
  • Liaise professionally with government departments, external organizations, partners, and other stakeholders.
  • Monitor priorities and provide timely reminders regarding commitments and deadlines.
  • Support the coordination of administrative procedures in line with the entity’s policies.
  • Handle confidential and sensitive information with the highest level of discretion.
  • Perform other relevant administrative duties as assigned.

Qualifications and Experience

  • Bachelor’s degree in Business Administration, Public Administration, Management, or a related field.
  • Minimum of [3–5] years of experience as a Personal Assistant, Executive Assistant, or in a similar administrative role.
  • Previous experience within a governmental, public-sector, diplomatic, or highly regulated environment is preferred.
  • Strong proficiency in Microsoft Office, including Word, Excel, PowerPoint, Outlook, and Teams.
  • Excellent written and verbal communication skills in [Arabic and English].
  • Experience preparing formal correspondence, reports, and meeting documentation.
